Comprehensive Guide to Quote Statuses

Objective: This article explains the various quote statuses within the NASPO ValuePoint platform, helping suppliers understand each phase of the quote lifecycle.

Introduction: Understanding the different statuses a quote can have is essential for managing your responses and expectations effectively. Each status indicates a specific stage in the quote process, from initial request to final decision.

Exploration of Quote Statuses:

  1. Pending (Not Yet Quoted):
    • Indicates that a quote has been requested but not yet addressed by the supplier. Action is required.
  2. Change Requested (Buyer Requested a Change):
    • The buyer has requested modifications to a quote that was previously submitted. Prompt response needed to update and resubmit the quote.
  3. Quote Draft (Saved a Draft):
    • A quote that has been started but not completed. You can return to this draft to finish and submit it at any time.
  4. Quote Submitted (Buyer Notified):
    • The quote has been fully submitted to the buyer for review. No further action is required unless the buyer requests changes.
  5. Request Declined (You Declined to Quote):
    • Indicates that the supplier has chosen not to provide a quote for the request. This status is final for that particular request.
  6. Quote Accepted (Buyer Accepted the Quote):
    • The buyer has accepted the quote. Follow-up actions may include finalizing details and arranging for the delivery of services or goods.
  7. Ordered (Buyer Placed the Order):
    • The quote has been accepted, and the buyer has officially placed the order. This status often initiates the fulfillment process.

Conclusion: Familiarity with the various quote statuses is crucial for efficient quote management. Understanding these statuses allows suppliers to prioritize actions and respond appropriately, ensuring smooth operations and strong buyer relationships.
